If you run a med spa, salon, wellness clinic or another appointment-based business, a useful question is not just who books most often. It is which client groups contribute the most revenue, return for services and have stopped coming in. A data agent could help explore those questions in everyday language—but the answers are only useful if the data and definitions behind them are sound.
What the launch changes
OpenAI introduced a Data agent in ChatGPT Work for asking questions about company data and refining the analysis in conversation. OpenAI says users can do this without writing queries or learning a separate analytics tool (OpenAI). The product can also turn analysis into an interactive dashboard (OpenAI).
That may make it easier for a business owner or marketing lead to investigate a question without first commissioning a custom report. But it does not mean the tool automatically understands your business or can access your booking and POS systems. OpenAI describes connections to approved data sources and company files, so first check whether your actual systems can connect or whether you would need to prepare an export (OpenAI).

Turn the question into definitions
Before asking for “high-value clients,” decide what you mean. Is value based on revenue collected, booked services or revenue after discounts and refunds? Should the analysis include retail purchases, memberships or packages? If those rules are unclear, ask the agent to show the calculation it used rather than accepting a segment label at face value.
OpenAI says the Data agent can use an organization’s business terms, metric definitions, custom calculations and data relationships to interpret information (OpenAI). That context has to exist in the connected data or be explained in your prompt. You could start with a request like:
Using completed appointments and POS sales from [date range], group clients by collected revenue. Show the formula, total clients and total revenue for each group. Separately identify repeat clients and clients with no visit since [date]. Exclude cancelled appointments and list any assumptions.
Treat the date range and rules as choices to confirm for your business, not standard definitions. For example, the right point at which to call someone “lapsed” may depend on how often clients normally book. Ask the agent to show the underlying client counts and revenue totals alongside the labels, so you can see whether the result matches the question you meant to ask.
Treat the answer as a draft
Review a few records from each proposed group and compare the totals with reports you already trust. Check whether duplicate client profiles, refunds, discounts or package redemptions could change the result. If the figures do not reconcile, pause before using the segment to decide who gets a promotion or a rebooking message.
You can then ask follow-up questions: Which services are most common among the highest-revenue group? How does the share of returning clients vary by first-visit month? Which clients have not returned within the interval we defined? Ask the agent to show its evidence and assumptions. OpenAI says users can review the evidence behind findings and refine the analysis in conversation (OpenAI). That makes it easier to investigate, but it does not replace your own check of the underlying records.
Access matters too. OpenAI says administrators choose which data connections and user roles are available, and that queries follow the connected account’s existing permissions (OpenAI). Before sharing an analysis, make sure the people who can see it should have access to the client information it contains.
Where the Agents API fits
OpenAI also announced the Agents API, a developer tool for building agents with their own tools, workflows and environments (OpenAI). For most owners, that is a different proposition from asking questions of connected company data: the API is relevant if you or a technology partner are building a custom system. You do not need to build an agent to test whether useful client segments can be identified from your records.
What to do
- Choose one question, such as which clients contributed the most collected revenue in a defined period.
- Confirm how revenue, repeat visits and lapsed status should be calculated.
- Check that the data source includes the fields you need and that access is appropriate.
- Ask for formulas, assumptions, counts and totals with the segment results.
- Verify a sample of records and reconcile totals before changing a campaign.
If you want a clearer view of who drives revenue and why, Vetraeus Customer Segmentation focuses on identifying those client groups and the reasons behind their value.
