This page explains what information Vetraeus collects through this website, why we collect it, who helps us handle it and what you can ask us to do with it.

The short version

  • We collect what you send us through our forms and the AI readiness assessment, plus standard analytics about how the site is used.
  • We use it to reply to you, prepare your assessment results, schedule calls and improve the site.
  • We do not sell personal information.
  • You can ask us to show, correct or delete your information at any time by emailing info@vetraeus.com.

Who we are

Vetraeus Inc. (“Vetraeus”, “we”, “us”) runs the website at vetraeus.com. We provide data, analytics and AI readiness services to appointment-based businesses in the United States, such as clinics, spas, salons and studios.

This policy covers the website and the messages you exchange with us. It does not cover the data our clients share with us to do their work. That is described under “Data our clients share with us” below.

What we collect and how

Through this website, we collect the following.

Separately from this website, we sometimes look up publicly available business contact details, such as those on a business’s own website or public listings, to reach out to businesses we think we can help. You can ask us to stop contacting you at any time.

We do not ask for sensitive information such as health details, payment card numbers or government ID numbers through this website. Please do not include them in a message.

How we use it

  • To respond to your inquiry and continue the conversation you started.
  • To prepare and deliver your AI readiness assessment results.
  • To schedule and hold calls with you.
  • To send you the emails you would expect, such as a confirmation that we received your message.
  • To improve the website by seeing which pages and features people use.
  • To measure our marketing, for example which channel brought a visitor who later contacted us.
  • To protect the site and our forms from spam and abuse.

Why we are allowed to use it

In plain terms, we rely on three reasons.

  • You asked us to. When you send a message or take the assessment, we use your details to do what you asked.
  • You agreed. The assessment asks for your agreement to be contacted about your results before it starts. You can withdraw that agreement at any time by emailing us.
  • We have a reasonable business need. Examples are keeping the site secure, understanding how it is used and following up with businesses that contacted us.

The AI readiness assessment

The AI readiness assessment asks for your name, work email and company, then 18 questions about your business. A few things are worth knowing.

  • Each email address can complete the assessment once. When you enter your email to start, we check whether it has already been used, so we keep a record of the addresses that have finished.
  • Your answers are scored automatically, then reviewed by a person on our team who prepares your summary.
  • We email you a confirmation and a note to schedule a call, then go through your results with you on that call.
  • While you are answering, your details and answers are saved in your browser tab so that a refresh does not lose them. They are sent to us only when you finish, and the saved copy is removed once they are sent. Closing the tab removes it too.
  • Our analytics record that an assessment was started, which sections were completed and the overall score. Those analytics events do not include your name, email, company or individual answers.

Data our clients share with us

When a business hires us, it may give us access to its own records, such as bookings, sales and customer lists. That data is governed by a separate written agreement with that client, not by this policy.

  • We use a client’s data only for that client’s work.
  • We do not sell it, and we do not use it for another client.
  • If you are a customer of one of our clients and have a question about your information, please contact that business first. We will help them respond.

Who we share information with

We do not sell personal information. We share it only with the service providers that help us run the website and our business, and only as far as they need it to do that job.

Heroku (Salesforce)Hosts the server that receives our forms and the assessment.
BrevoSends our emails, such as the confirmation you get after a form and the notice our team gets.
SanityStores and delivers our blog articles and their images.

We may also disclose information if the law requires it, for example in response to a valid court order, or to protect our rights, our clients or the public. If Vetraeus is ever sold or merged, the information we hold may pass to the new owner, who would have to keep honoring this policy.

Cookies, analytics and browser storage

Our own code does not set cookies. The site loads Google Tag Manager, which in turn loads Google Analytics 4 and the Meta Pixel. Those tools set their own cookies and collect the usage information described above. Google and Meta may combine it with other information they hold, under their own privacy policies.

When you submit a form, we tell these tools that a lead came in and which topic it was about. We do not send them what you typed into the form.

The only thing our own code stores in your browser is your assessment progress, kept in session storage until you finish or close the tab.

You can limit or switch off this tracking.

How long we keep it

We keep inquiries and assessment submissions for as long as they are relevant to our relationship with you or your business. If you ask us to delete them, we will, unless the law requires us to keep something. Analytics data is kept for the period set in those tools. Server logs are kept by our hosting providers for limited periods.

Security

We use reasonable safeguards to protect the information we hold. The website and our forms use encrypted connections (HTTPS). No method of sending or storing information is completely secure, so we cannot promise absolute security. If we learn of a breach that affects your information, we will tell you as the law requires.

Your choices and rights

You can ask us to do any of the following.

  • Tell you what information we hold about you and give you a copy.
  • Correct information that is wrong or out of date.
  • Delete your information.
  • Stop emailing you. Reply to any email from us to say so, or write to the address below.

To make a request, email info@vetraeus.com. We may ask a question or two to confirm it is really you. We will respond within 30 days. We will not treat you differently for making a request.

State privacy rights

Some US states, including California, give residents specific rights to access, correct and delete their personal information and to opt out of its sale or of certain advertising uses. We do not sell personal information. If you would like to opt out of the advertising tags on this site, use the options under “Cookies, analytics and browser storage” above or email us and we will help. We honor access and deletion requests from anyone, wherever they live, using the process above.

Children

This website is for businesses. It is not directed to anyone under 16, and we do not knowingly collect information from them. If you believe a child has sent us information, email us and we will delete it.

International visitors

Vetraeus is operated from the United States and our services are offered to businesses there. If you visit from another country, your information will be processed in the United States, where privacy laws may differ from those where you live.

Changes to this policy

We will update this page when what we do changes, and we will change the “Last updated” date at the top. If a change is significant, we will say so clearly on this page.
